Client

•  U.S. Department of Health and Human Services (HHS) Office of the National Coordinator for Health Information Technology (ONC)

MBC Involvement

•  Subcontractor

Team's Key Tasks

•  Develop and pilot electronic consent education and consent decision capture technology at several western New York healthcare provider facilities

MBC's Key Tasks

•  Manage a complex schedule of activities and a geographically dispersed team
•  Develop, execute, and analyze a survey to guide development of educational materials
•  Facilitate focus groups to validate and explore survey findings
•  Develop scripts for the educational videos
Develop training materials
Train staff at the pilot sites
Analyze the pilot results and document the pilot in a final report

Highlights

Successful Survey Design – MBC’s rigorous survey design and approach resulted in an 8% response rate — more than double the standard 3% rate for mass mail surveys.
•  Innovative Focus Groups – MBC’s innovative focus group approach began and ended each session with a key factors prioritization exercise. This format allowed the team to determine if patient perception drifted due to the open discussion in the middle of each session.
•  Effective Script and Training Development – Based on survey and focus group findings, MBC developed an educational material framework that divided key factor materials into a “core” script and non-key factor materials into optional training. This resulted in a streamlined core educational script, lessening impacts to an already busy registration process at pilot sites.
•  Valuable After-Action Reviews – MBC conducted site After-Action Reviews to collect additional lessons learned from the pilot’s registration teams. The reviews provided unique insights to alternative approaches that might not otherwise have been considered.
Client Feedback – In a post-contract performance survey, the client gave MBC accolades for above-average work, effectiveness, timeliness, professionalism, and consistent communication. In particular, she recognized MBC for excellence in coordinating the many moving parts of this large, detailed project.
